1. Objective

Welcome to BeeHelp. In this guide, I aim to teach you the first steps to start using your account to respond to your clients, potential clients, or visitors.

In this guide, we will see how to add information about your business or product, how to make it accessible and consultable to your audience, and how the payment process works, including what is included in the free plan.

2. Questions and answers

2.1 Books and categories

In the free plan, you can create up to 100 questions in a single account. In the paid plan, up to 10,000 questions. Typically, a questions and answers section for any service hardly needs more than 50 question-answers.

BeeHelp stores the information about your product or service in the form of questions and answers that the intelligence of ChatGPT will use to respond to information requests from your visitors.

The questions are grouped into collections called "Books". You can create as many books as you want, and they are independent from each other. You can decide to insert the query from one book on one website and the query from another book on another website or in another section of the same website.

For example, a typical collection could be "Frequently Asked Questions" and another one could be "User Guide".

In addition, within each book, you can group questions by categories. The interface of the admin panel is simple and easy to use. You just need to:

  • Create a book
  • Create at least one category in that book
  • Add questions and answers to that category

2.2 Alternative Questions

Each question-answer pair is composed of the following elements:

  • Main question
  • Alternative questions
  • Answer

Alternative questions are statements that are worth adding to help the system retrieve the same answer when a visitor writes an uncommon question that can be answered with the same information as the question we have formulated in a more standard way.

For example:

  • How much does the service cost?
  • How much is paid for the service?
  • What is the cost?

These are questions that are answered with the same information.

2.3 Multilingualism

The system is 100% multilingual in several ways:

  • You can add each question and answer in more than one language. To do this, you must contact the support service to activate more languages, which has no cost. However, by default, your BeeHelp account is created to use only the language you indicated in the registration form.

  • Even if you define all the questions and answers in a single language, such as Portuguese, ChatGPT will "translate" its answers in real-time to adapt to the language used by the visitor to make their inquiry.

We have seen how ChatGPT has responded to our visitors in Japanese, Chinese, Malay, Arabic, etc., languages in which we do not even know how to write a single letter. Isn't it fantastic? However, it is highly recommended that you add your questions and answers to the system in your local language and possibly in some of the major languages, such as English.

2.4 Non-visible questions

When you edit a question-answer pair, the "Visible" property refers to whether you want to include it in the list of questions and answers if you decide to display it in full on your website, in the classic way.

When can it be useful to define a question-answer pair as NOT visible? Well, when you have added it to the system because someone has asked about that subject, but it is actually something very minority, and you do not want your list of published questions and answers to be excessively long. For this reason, you may not want to display some of them.

However, ChatGPT will use all of them to respond to visitors, if needed.

2.5 Testing questions and answers

From the admin panel, in the list of questions, you can test the type of responses the system offers to visitors.

The "Search similar" button opens a dialog box where we write the possible question from the visitor, and the system returns to us the list of questions ordered according to their level of "similarity", expressed in a new column called "Similarity".

The top two questions are likely to answer the question written by the visitor and are the ones passed to the AI to process a customized response.

The "Ask the AI" button allows us to receive the same response given to visitors when on the PREMIUM plan: ChatGPT drafts a customized response to the question written by the visitor, and additionally, the most similar question(s) used to do so are shown below.

This type of queries is charged in the same way as if they were made by a visitor. The costs are explained below.

3. FREE vs PREMIUM

3.1 Differences between both plans

As you already know, BeeHelp's service is offered in FREEMIUM mode, currently with two unique plans:

  • FREE: It is limited to accumulating up to 100 question-answer pairs in your account, with questions of no more than 20 words and answers of no more than 120 words, and the system never returns a CUSTOM response by chatGPT to your visitors when they make a query.

  • PREMIUM: The limit of question-answer pairs that you can accumulate in your account is increased to 10,000, with questions of no more than 40 words and answers of no more than 240 words, and in this case, the system returns personalized responses to your visitors' queries.

3.2 Balance and recharges

When you register, your account works in FREE mode, and when you load BALANCE into it, PREMIUM mode is automatically activated. If you run out of balance, then the system reverts back to FREE mode.

In the case of the FREE plan, there is a limit of 100 queries per day. After this, the query box will no longer be displayed to your visitors.

The same thing happens in PREMIUM mode when you reach the "daily consumption limit" that you have defined. This is to avoid unpleasant surprises.

In the administrator panel, at the top left, you have an indicator of the available balance in your account, and by clicking on it, you can access the "Balance Management" section.

There you can:

  • Set up email alerts for when the balance falls below a certain threshold
  • Load more funds into your balance with just two clicks
  • Check the consumption history

3.3 Credit and Microcredit

"Credit" refers to the balance you load from your card or by transfer (depending on your country and currency) and is an amount expressed with two decimal digits.

"Microcredit" refers to a credit amount that is set aside from the "credit" to be consumed in actions that involve "micro-consumptions". For example:

  • Responding to a query using chatGPT to develop a personalized response results in a consumption of 0.01 USD.

  • Responding to a query simply by searching for the two most similar questions-answers results in a consumption of 0.0001 USD.

When the system has to annotate any of these micro-consumptions, it deducts the corresponding amount from your "microcredit" at that time. And if you have it at zero, it recharges it by taking 1.00 USD from your "credit".

3.4 Consumption Control

In the "Credit Management" section that we have seen above, you can track the 1.00 USD consumptions that are being made.

But if you go to the "Configuration" section of the "FAQ" module, you will find a "History" of daily consumptions, with the exact decimal digit number.

In addition, in this section, you can define a reasonable value for the "Daily Limit" to avoid surprises.

4. Access and use by your audience

4.1 Your BeeHelp page

When you register with BeeHelp, a separate page is created for you, with its own database and URL. The URL is of the following type:

"my-project-name" is the part of the URL you chose when registering.

In addition, you will receive access to the administrator panel by email, from where you can add questions and answers to your account, and control your consumption, balance and usage history.

The BeeHelp page assigned to you is the one you should share with your audience, such as customers, potential customers, users and partners. They can consult the questions and answers you have added and that you have set as VISIBLE in your account. They will also have access to a text box to make specific inquiries.

Note: Currently, anyone with the URL can access your page. Soon, we will implement a system so that you can block access to the information. Probably, a password will be required that you will share with your audience.

4.2 On your website

You can also insert 2 widgets on your website:

  • A box of questions.
  • A list of questions.

You can:

  • Insert only one of the widgets.
  • Insert both on the same page.
  • Insert both on different pages.

To insert one of these widgets, you must copy the code found in the "Configuration" section of the "FAQ" module. Keep in mind that:

  • If you have more than one book of questions, you will see a book selector because the widget insertion code varies slightly.

  • If you have more than one language enabled, you must also select the language you want to use in the widget you are going to insert.

  • Optionally, for advanced users, you can add the parameter "&class=my_class" to the widget URL so that when the widget is rendered in the web browser, the container DIV is assigned a special class that allows you to control the appearance with custom CSS.

Technical comments (for advanced users):

  • This widget works using a JavaScript file that, when loaded on the page where it is inserted, will create a dynamic IFRAME inside a DIV that you insert wherever you want. If you analyze the contents of that JavaScript file, you will see that it has no more than 30 very simple lines of code and does almost nothing, nor does it use cookies.

  • The only thing this JavaScript does is communicate with the JavaScript loaded in the IFRAME to resize the IFRAME when its content is modified. In this way, for visitors, it will be difficult to notice that this content is not part of the same page they are visiting.

  • For this insertion to work, you must indicate the web domain where you have inserted the widget. Above the widget code, you will find some boxes where you can indicate up to three different web domains. If you need more, please contact us.

4.3 Visual customization

We want to add more customization features soon. For now, you can use the "Customize" section located in the "Settings" of the FAQ module in the administration panel.

  • You have HTML editors that, in expert hands, can work wonders: its content will be inserted anywhere the widgets are inserted.

  • There is an editor for each language and environment: both for your BeeHelp page and for your external page (if you use it).

  • If you use the "Source code" button of these editors, you can include HTML nodes of CSS (STYLE) and Javascript (SCRIPT), giving you greater control.

  • To insert images, such as your logo, use a URL that points to a location where the image is hosted. We are currently working on how to allow our users to upload images to our server, but this involves a very high security risk, so we will take this step with caution.
